Finding a nanny has not been easy ... and now the administrative steps seem insurmountable? No, you just need a little organization, and to follow the top-nanny tips.  

Let's start with the first steps for hiring itself: in addition to the employment contract to put together, you need to gather certain documents and follow certain formalities.

Above all, never think you can excuse you from a particular requirement: the Ministry of Labour is never far away...

Documents to ask for from the nanny you hire

As soon as possible, ask your nanny to provide the following documents;

  • Piece of photo ID (driver's license, provincial ID, passport). If your nanny is a foreigner you should ask to see her work permit.
  • Social insurance card or number
  • Optional: criminal record check (it's always reassuring) which can be obtained through the RCMP.
  • Driver's license, if necessary
  • Proof of her training, if applicable (first aid, Early Childhood Education...)

 The first formalities 

Terrified by the administrative process that lies ahead? Don't be! It's like ripping off a bandaid, the quicker the better. Worry not, you'll get there.  

The CRA - Opening a payroll account

You will need to create a payroll program account with the CRA in order to start remitting the payroll deductions (employee and employer). This needs to be done before the first remittance due date. Your first remittance due date is the 15th day of the month following the month in which you began withholding deductions from your employee's pay. 

If you do not create a payroll program account before the required date you can still remit. By not remitting on time you will be subjected to a late penalty charge.

Workers' compensation insurance 

Workers' compensation insurance is mandatory in Canada but it is managed at the provincial level. For more information regarding workers' compensation in your province see here.

Responsibility of the employer 

You are an employer. Therefore, you have financial obligations but also legal and administrative ones. Do not neglect them because a simple oversight can have serious consequences once brought before the Labour Court.
